Background

1. Gather the File and FileField information (SQL / Sapphire)
2. Gather the FileField Lookup information (ASP - generate data on the fly)
3. Deliver this Control Document to the browser (mime type is application/x-nextgen)
4. Browser opens Word (based on the mime type)
5. Windows run a Word macro (mDocumentMerge) (based on the mime type)
   - mDocumentMerge is stored in a template file (Aspen Grove.dot), located in a startup directory

Control Document Structure

Aspen Grove_Header: identifies a control document.  Macro stops running if this is not present DocumentPath: identifies where the USER can find the document template to be generated. Action: Merge or Edit.  A Merge generates a merged file based on the document template, and Edit open the document template for editing.  User must have rights to edit (write) this document template. Document:  Name of the document (not currently used).

Section:= File Information:  contains basic information for the file Populated by active server code

Section:= Document Information: contains flags from document table indicating what should be merged (which file parties, multiple documents). Populated by active server code

Section:=<Firm> Information: hardcoded fields for use in documents, such as the firm's address, phone, etc.
Hardcoded in the documentdatasource.asp file, part of the Sapphire doucment project.

Section:=FileTask Information: task information (stop dates, costs, price, etc.) for those tasks required for this document. Populated by active server code

Section:=FileField Information: field information for those fields required for this document. Populated by active server code

Section:=Lookup Information: lookup information for fields required for this document (e.g. ClientAddress, ClientPhone, etc.) Populated by active server pages (code embedded in documentdatasource.asp)

Section:=FileContact Information: Party fields for file contacts used in document (especially for documents which generate multiple document pages; e.g. one page per Mortgagor). Populated by active server code

Section:=All FileContact Information: Party fields for all file contacts associated with this file.  Used to build party strings, and has no bearing on multiple documents or the Party fields made available in Word. Populated by active server code

Common Word Error Messages

• "Cannot run specified macro": cannot locate Aspen Grove.dot.  Check Word's Tools - Options - File Locations - Startup to ensure it is pointing to the directory in which Aspen Grove.dot is stored.
• "Document Template Not Found": user does not have document directory properly mapped, or does not have read permissions on this directory.  The document directory (path) is stored in SQL, changed from Admin-Documents-Information.
